Privacy Policy

Last updated

RentLedger helps landlords keep their rent records, receipts and reminders in one place. This policy explains, in plain words, what information we keep, why we keep it and the choices you have. It is written to meet the Nigeria Data Protection Act 2023 (NDPA).

Who we are

RentLedger is a product of Meta Lira Technology LTD (“Metalira”, “we”, “us”), a software company in Lagos, Nigeria. You can reach us about privacy at privacy@metalira.com placeholder.

Who is responsible for the data

When a landlord (or an agent working for a landlord) adds tenants, units and payments to RentLedger, the landlord decides what is recorded and why. That makes the landlord the data controller for their tenants’ information.

RentLedger is the data processor: we store and process that information only to provide the service, on the landlord’s instructions. For the landlord’s own account details (name, phone, email and billing), Metalira is the data controller.

What we store

  • Landlord account details: your name, business name, phone number, email address, your team members (caretakers and agents) and your subscription plan.
  • Properties and units: addresses, unit names and types, rent amounts and charges.
  • Tenant details: name, phone number, WhatsApp number and email address. Next of kin and guarantor details are optional and only stored if the landlord adds them.
  • Payments: amounts, dates, payment method, receipts, notes and any proof photos (for example a transfer screenshot or a photo of a cash receipt).
  • Reminders: which reminders were prepared, sent or skipped, and when.
  • Basic technical records: sign-in times and an audit log of changes to money records, so mistakes can be traced and fixed.

What we never collect

We do not ask for or store Bank Verification Numbers (BVN), National Identification Numbers (NIN) or uploads of ID cards, passports or driver’s licences. We do not hold or move anyone’s rent money: tenants pay their landlord directly.

Why we use it

We use this information only to:

  • keep the landlord’s rent records and work out who has paid and who owes;
  • issue numbered receipts and private statement links for tenants;
  • prepare renewal and overdue reminders and send the landlord a daily email digest;
  • let caretakers record payments for the landlord to approve;
  • run, secure and support the service, and bill the landlord’s subscription.

We do not sell personal data, and we do not use tenants’ details for advertising.

Where it is kept and who helps us

Your data is stored with Supabase, encrypted at rest and in transit (HTTPS). Proof photos are kept in private storage and are only shown through links that expire after a few minutes. We use a small number of trusted service providers (sub-processors) to run RentLedger:

  • Supabase: database, sign-in and file storage.
  • Vercel: hosting for the web app.
  • Resend: sending emails such as sign-in codes and reminder digests.
  • Paystack: taking landlords’ subscription payments. Card details go straight to Paystack; we never see them.

Some of these providers may store data outside Nigeria. Where that happens, we rely on the safeguards the NDPA allows for cross-border transfers.

How long we keep it

We keep a landlord’s records for as long as their account is active, so their rent history stays complete. When a landlord deletes their account, it is hidden straight away (soft-deleted) and permanently erased after 30 days. Before deleting, a landlord can export all their data, including receipt numbers and amounts, for their own records.

Your rights

Tenants can ask to see the information held about them, ask for it to be corrected, and ask for it to be deleted once their tenancy has ended. The quickest way is to ask your landlord, who controls your records. You can also contact us at privacy@metalira.com placeholder and we will work with your landlord to respond.

Landlords can view, correct, export or delete their data at any time from Settings, or by contacting us.

If you are not happy with how we handle your data, you can complain to the Nigeria Data Protection Commission (NDPC).

If something goes wrong

If we discover a personal data breach that affects your information, we will tell the affected landlords and notify the Nigeria Data Protection Commission within 72 hours of becoming aware of it, and explain what happened and what we are doing about it.

Cookies

We only use essential cookies that keep you signed in securely. We do not use advertising or tracking cookies.

Changes to this policy

If we make important changes, we will update the date at the top of this page and let landlords know by email before the changes take effect.
